Create a Document Template

Currently, creating and managing templates requires a copy workaround. In the future, we plan to offer a more complete document template feature. You can keep track the progress of this feature via the following Jira issue:DOCS-108

To speed up the process of creating future documents, it's helpful to use document templates.

In this article you’ll learn how to:

  1. Create a document template for future use

  2. Use your new document template

1. How to Create a Document Template

To create a template, start by creating a new document that defines the details and structure of your template. This will serve as the foundation for future documents. Whenever you or your team need to base a new document on the same structure, you only need to copy its Working version and make the necessary modifications.

Here are the steps to define your template by creating a new document:

  1. Navigate to the Document Library.

  2. Click New Document.

  3. Select Create new page tree, this document will be your template:

    1. Optional: Add a document title, summary, cover image, and label. These details help identify the document as a template for you and others.

      (tick) Tips: Add a “template” label to your document, this will enable you and others to filter and overview all documents in your library that can be used as templates.

    2. Click Next to proceed to the Organize the page tree dialog.

    3. Click Add blank page (plus) to include empty pages in your template.

    4. Click Save when you are done adding pages.

You can restrict who can edit or copy the template if needed. To learn more see: Manage Restrictions

Congratulations!

You've successfully created your first document template, which can be found in the Document Library. Feel free to edit or add new pages to the template as required. In the next section, we'll explain how to create new documents based on your template.

2. How to Use the Document Template

To create a new document based on your template, follow these steps:

  1. Click Scroll Documents in the Apps section of the space sidebar. This will take you to the Document Library.

  2. Locate and click on the card representing your document template.

  3. Find the Working version of your template.

  4. Click More page tree actions (•••):

    1. Select Copy:

      1. Choose the space where the new document should be placed.

      2. Select the parent page for the document.

      3. Click Next.

      4. Update the document title and add a prefix.
        (info) Note: If you're copying the document within the same space, adding a prefix is important to avoid duplicate page titles, which aren't allowed in the same Confluence space.

      5. Click Copy when you are done.
