App access to Confluence spaces and content

This page describes how the Scroll Viewport for Confluence app accesses content on your Confluence site. This access is only technical and does not mean that the content is included and shown in the Scroll Viewport site.

Your content is only ever visibly included in the Scroll Viewport site if two conditions are given: Scroll Viewport can access the content and the content is part of a content source that you have selected for your site.

There are only two exceptions to that rule:

  1. You have applied the label scroll-help-center-exclude-page. Your page and its children won’t be shown in the site’s navigation and search. Learn more.

  2. In your site settings, you have allowed to include content from outside your content sources. If the app has access, the app will then also have permissions to show content on include page and insert excerpt macros, even if that source content is not contained in a content source. Learn more.

Default: The app can access any space or Scroll Document with default permissions

The Scroll Viewport for Confluence app is represented by its own user with the name Scroll Viewport for Confluence Cloud. This user is automatically created and assigned to the group confluence-users when you install the app. Scroll Viewport for Confluence Cloud is an app user and does not add to your licensed user count.

The confluence-users group is part of the Default Space Permissions that are applied whenever you create a new space or a new Scroll Document. If you haven’t changed the default space permissions or edited Scroll Document restrictions, Scroll Viewport for Confluence will automatically have all necessary view and edit permissions to work in that space or document.

We strongly recommend to keep the default user group confluence-users intact, if possible. Deleting this group might result in Viewport app permission problems later on. If you run into such problems, please contact help@k15t.com.

View permissions enable the app to include your content on a Viewport site

When you add a space or Scroll Document as a content source, the app user will need to have at least view permissions for the pages of your content source in order to include the content in your Viewport site(s).

If the app user is restricted from viewing the pages of your content source(s), then the app won’t be able to read and then transform your content into pages of your Viewport site.

Edit permissions enable the app to change the URLs for a Viewport site

If you want to customize your article URLs, in addition to view permissions, the app user will also have to have write permission for the pages of your content source.

Edit or Add Page permissions will give the app user write access, which is needed to change the Viewport URLs of the pages in your content source(s).

Giving access to a space that excludes confluence-users

If the space you want to add to a Scroll Viewport site has space permissions that exclude the group confluence-users you will need to add the user Scroll Viewport for Confluence Cloud individually.

To include the app user in your space permissions:

  1. Go to the space

  2. Click Space Settings

  3. Select Space Permissions → General

  4. Click Edit permissions under the table Individual Users

  5. Type Scroll Viewport for Confluence Cloud and click Add

Make sure that at least View is ticked. To allow the app to modify URL segments, please also tick Add pages.

Giving access to a Document with custom restrictions

If the Scroll Document you want to add to a Scroll Viewport site has custom restrictions you will need to add the user Scroll Viewport for Confluence Cloud in the Restrictions Manager.

Make sure that at least View is ticked. To allow the app to modify URL segments, please also tick Edit.

If you’re using Confluence Page restrictions on pages these will restrict the app from reading and writing on those pages - unless the app user is added for viewing and editing there as well.
